Organiser and seller terms
These terms apply to associations and student organisations that create events and sell tickets in Ephemeria. They supplement the terms of use.
1. Who can sell
An association (or student organisation) represented by a responsible adult who declares they have authority to bind the association. For launch, Ephemeria links the association’s Stripe account itself after verification; self-service onboarding will come later.
2. Roles
- Owner: the person responsible for the association in Ephemeria. Only they can transfer ownership. To delete their account, they must first hand this role over.
- Organisers: manage the association’s events.
- Scanning co-organisers: added for one specific event, they can only scan tickets for that event. They have no power over payments, refunds or ownership.
3. The association sells, Ephemeria provides the tool
- The association is the seller of the tickets, through its own Stripe Connect account. Payments are collected into that account; Ephemeria never receives the funds.
- The association accepts Stripe’s terms for connected accounts (Stripe Connected Account Agreement) and Stripe’s services agreement.
- Ephemeria is a technical intermediary: it does not organise the event and is not a party to the sale.
4. Prices and fees
- 0% Ephemeria commission. No fee is added to the price the buyer pays.
- Stripe’s processing fees are borne by the association and deducted from its payouts.
- Prices are shown including all taxes in the event’s currency (EUR in France, GBP in the UK). Price and currency are fixed on the order.
- The association remains responsible for its tax and accounting obligations (including VAT where applicable).
5. Ticketing
- One ticket per student per event. The place is held for 30 minutes during payment.
- The ticket is issued automatically when Stripe confirms the payment.
- If a payment succeeds but no valid ticket can be issued (for example because capacity is reached), the buyer is refunded in full, automatically.
6. Refunds
- Full refunds only, initiated by the association: event cancelled or its own decision. No partial refunds in the app.
- A refund always goes back to the card that paid and cancels the ticket.
- If the event is cancelled, the association refunds every buyer.
- A duplicate payment is refunded to the buyer automatically; their valid ticket stays valid.
7. Payment disputes
Disputes (chargebacks) and their fees are borne by the association. The ticket concerned is suspended while the dispute is open. The association provides its evidence to Stripe.
8. Transfers
A buyer can transfer their ticket free of charge to a verified student on the same campus who does not yet hold a ticket for the event, until the event starts. The old QR code is cancelled. If there is a refund, the money goes back to the card of the person who paid. Resale is forbidden.
9. Information owed to buyers
The association publishes accurate and complete information: its name, the event description, the date, start and end time, the place, the price, its own conditions (including its refund policy) and a contact for questions about the event. It states that buying a ticket for an event on a specific date carries no right of withdrawal (Article L221-28 12° of the French Consumer Code). The association’s contact appears on every ticket.
10. Attendance
- For each event, the association chooses the confirmation mode: QR scan or self-confirmation. Self-confirmation requires an end time.
- The mode and times lock when the event starts or as soon as the first attendance is recorded.
- Never record attendance that did not happen.
- La Minute is switched on by default for events marked “free entry”.
11. Attendee data
- The association uses attendee data only to organise the event, manage tickets and meet its legal and accounting obligations. No export for commercial purposes, no sharing with third parties.
- It is responsible for how it uses this data and answers attendees’ requests about it.
- L’Observatoire, the association’s dashboard, only shows aggregate figures, never names.
12. Organiser obligations
The association organises lawful events and follows the applicable rules: venue safety and capacity, insurance, alcohol licensing, music rights, accessibility. It answers to buyers for the event, the tickets and refunds.
13. Suspension and changes
In case of a breach, a fraud risk or a legal request, Ephemeria may suspend ticket sales or the association’s account, giving reasons; the association can contest the decision with support@ephemeria.app. Any change to these terms is notified at least 15 days in advance, unless the law requires otherwise.
